"Pay as You Go"--A Win for the Insured and the Carrier

As many companies are experiencing double-digit rate decreases, it is becoming increasingly important for insurance carriers to set themselves apart from others. A key way to achieve this is to improve the customer experience.  Usually, improving the customer experience involves dynamic customer portals, easy-to-use interactive phone systems, and exceptionally friendly customer service staff. But how else can a company make a positive impression to insureds?  What if a program could help improve cash flow for an insured?  Do you think that would set your company apart from others?  A new payment offering from workers’ compensation insurance companies, often referred to as “pay as you go,” is designed to do just that.

“Pay as you go” programs are growing in popularity across the workers’ comp industry.  The theory behind the program is simple: instead of monthly or quarterly installments, companies pay the workers’ comp premium based on their actual payroll.  Therefore, each time a company runs payroll their workers’ comp premium is calculated and remitted to the insurance company.  Insureds are enjoying improved cash flow when enrolled in this program as they only pay premiums when they have a payroll.  For the seasonal employer, this can be very beneficial.  No more premium invoices during those long winter months when their ice cream stand is closed for the season or large audit bills because exposure was understated.

How does it work?   Once an insured enrolls in a “pay as you go” program, they agree to share payroll information with the insurance company.  The insured can opt to self-report the wages or use an automated feed from a payroll company right to the insurance company.  No matter how the wages are reported, the process starts with a class code being assigned to each employee.  The class code determines the rate of premium charged for each worker.  Every time an employee is paid, the associated workers’ comp premium is calculated and remitted to the insurance company.  As long as employees are classified correctly from the inception of the policy, the result should be minimal premium variation at time of audit.  In addition, some companies are not requiring deposit premium on this pay plan option, which is a cash flow benefit to insureds.

We’ve discussed the benefits of “pay as you go” to insureds, but what is the impact to the insurance carriers?  There is some additional work at the inception of the policy to make sure the workers are correctly classified and that reporting is communicated timely and accurately.  The policy is monitored throughout the policy term, as no invoices are sent.  Funds are received as payroll is processed; therefore, the collection process is simplified, and policies are less likely to fall into a cancel status.  If employees were correctly aligned to class codes at the policy inception, the audit will be quick and with little premium change.

One more item to note—payroll companies have also seen the benefits in a “pay as you go” program for workers’ comp and other lines of insurance.  At this time, at least two payroll companies are licensed insurance agencies; therefore, they may be moving in on the workers’ comp market in your state.
